WhatsApp Order Update Builder
Write an order confirmation message for WhatsApp, plus packed, shipped, out for delivery, delivered and delayed updates, in seconds. Pick a status, add the details, then copy or send it with the order ID in bold.
The *asterisks* around the order ID turn it bold the moment the message lands in WhatsApp, so the customer can spot their order number at a glance. Add a number to open the chat directly, or leave it empty to pick a contact in WhatsApp.
How to use WhatsApp Order Update Builder
- 1 Pick the order status Tap one of the six chips: Confirmed, Packed, Shipped, Out for delivery, Delivered or Delayed. Each one loads a different ready-written template and the preview bubble updates instantly.
- 2 Fill in the order details Type the customer name and order ID, then optionally the items summary, the delivery date and a tracking link. Lines you leave empty are dropped automatically, so the message never has blanks.
- 3 Check the live preview The WhatsApp-style bubble at the top shows exactly what the customer will receive, with the order ID wrapped in *asterisks* so it turns bold when sent.
- 4 Copy or send it Hit Copy update to paste it anywhere, or add the customer's number with country code and hit Send on WhatsApp to open the chat with the message pre-filled.
Why send your order delivery message on WhatsApp?
An order confirmation message for WhatsApp gets read within minutes; the same update sent by email gets opened hours later, if at all. Customers who buy from a small shop over WhatsApp expect the follow-up there too, and sellers who send a short order delivery message to the customer at each stage, confirmed, packed, shipped, out for delivery, delivered, get far fewer “where is my order?” chats, because the customer already knows. This builder writes those messages for you so every update sounds consistent and professional, whether it is your first order of the day or your fiftieth.
How the builder works
Pick one of six status chips and the tool loads a distinct order status update template for that stage. Type the customer name, order ID, an optional items summary, the delivery date and an optional tracking link, and the message assembles live in the WhatsApp-style preview bubble at the top. Everything happens in your browser; nothing you type is uploaded anywhere. The order ID is wrapped in *asterisks*, which is WhatsApp’s own bold syntax: the moment the message is sent, WhatsApp renders the ID in bold so the customer can spot their order number at a glance and quote it back to you if they reply.
From order confirmation to out for delivery: six message samples
- Confirmed thanks the customer and sets the expectation that a shipping update is coming.
- Packed tells them the parcel is labelled and waiting for the courier, a stage most shops skip and customers love.
- Shipped announces the handover, with the tracking link front and centre.
- Out for delivery warns them to keep the phone handy in case the driver calls.
- Delivered closes the loop, invites them to report any problem straight away, and thanks them for the purchase.
- Delayed apologises honestly, gives the new date and promises the next update, which is exactly what keeps a late order from becoming a lost customer.
How to send the order update straight to the customer
Copy the finished message and paste it into any chat, or use the Send on WhatsApp button. If you enter the customer’s number with its country code, the button opens a chat with that customer directly through wa.me, message pre-filled and ready to send. Leave the number empty and WhatsApp will simply ask you to pick the contact yourself, which is handy when the customer is already saved in your phone.
Tips for better order updates
Keep the items summary short: “2x cotton kurta, 1x dupatta” reads better in a chat bubble than a full invoice. Write dates the way you would say them, “Mon, 14 July” rather than 14/07/2026, so there is no day-month confusion across countries. Send the Delayed update before the customer has to ask; a proactive apology earns trust, a reactive one just limits damage. And if you use WhatsApp Business, save your most common variant as a quick reply so repeat updates take two taps.
Troubleshooting
If the bold does not show after sending, check that the asterisks sit directly against the order ID with no spaces inside: *WB-2481* works, * WB-2481 * does not. If the Send button opens WhatsApp but the wrong chat, the number is missing its country code; wa.me needs the full international number with no leading zeros. And if the tracking link wraps oddly in the preview, that is only the preview; WhatsApp itself turns any full URL into a tappable link.
Key features
Six distinct status templates
Confirmed, Packed, Shipped, Out for delivery, Delivered and Delayed each get their own wording, not one generic template with a swapped word.
Bold order ID
The order ID is wrapped in WhatsApp bold syntax automatically, so it stands out in the chat and customers can quote it back without hunting.
Live WhatsApp-style preview
The message builds in a chat bubble as you type and updates the instant you switch status chips, so you always see the final result.
Direct send via wa.me
Add the customer's number and the Send button opens their chat with the update pre-filled; leave it empty to pick a contact inside WhatsApp instead.
Why people use it
- Fewer "where is my order?" chats Customers who get a short update at every stage stop asking, which frees your WhatsApp for new orders instead of status queries.
- Consistent, professional tone Every update sounds the same whether you send it at 9am or 11pm, and the Delayed template apologises properly so late parcels cost you less goodwill.
- Two taps per update Change the chip, tweak the date, hit Send. Updating ten orders takes a couple of minutes, not half an hour of retyping.
Frequently asked questions
What should an order confirmation message for WhatsApp say?
Thank the customer, repeat the order ID in bold so they can quote it back, summarise the items, give the expected delivery date and say a shipping update is coming. The Confirmed template in the builder covers all of that in a couple of lines.
What is a good out for delivery message sample?
Name the customer, give the bold order ID, say the parcel is out for delivery today and ask them to keep their phone handy in case the driver calls. Tap the Out for delivery chip and the builder assembles that message from your details.
How do I tell a customer their order is delayed on WhatsApp?
Be proactive: apologise once, give the new delivery date and promise the next update. The Delayed chip loads a template that does exactly this, and sending it before the customer asks is what keeps a late order from becoming a lost customer.
Can I send order updates with WhatsApp Business?
Yes, the messages work in both the regular app and WhatsApp Business. If you send the same status often, you can also paste a generated message into a WhatsApp Business quick reply and reuse it with two taps.
Is customer data saved when I build an order update?
No. The whole tool runs in your browser. Names, order IDs, dates and phone numbers exist only on your screen and clipboard, and nothing is sent to our servers.
Privacy & security
This tool runs entirely in your browser. Customer names, order IDs, dates, tracking links and phone numbers never leave your device; the message is built locally and copied straight to your clipboard or handed to WhatsApp via a wa.me link. We store nothing.
